Terms of Service

Last updated 4 November 2026

Draft — pending legal review

This describes how Suiteloom works and what we expect of each other, but it has not yet been reviewed by a lawyer and is not a final agreement. Please read it, and treat the reviewed version published before general availability as the one that governs your use of the service.

1. What the service is

Suiteloom is business management software for small businesses in India. It is organised into three modules, and your subscription determines which of them are switched on for your business:

  • Billing — point of sale, GST invoices, UPI and card payments, refunds and daily sales reporting.
  • Inventory — stock on hand of the items you track, per outlet, with low-stock alerts and manual corrections.
  • Restaurant — table and takeaway orders, the kitchen display, menus and the bill that comes out of a dine-in session.

2. Your account

You register a business, and that business is the account holder. The person who registers it becomes its Owner and can invite other people and assign them a role — Owner, Manager, Cashier, Employee, Waiter or Chef. Each role sees and can change only what that role is permitted to.

You are responsible for who you invite and for what they do with the access you give them. Keep passwords to yourself: a login is for one person, and sharing one makes the record of who did what meaningless. Tell us promptly if you think an account has been compromised.

3. Your data is yours

Everything you put into Suiteloom — your products, customers, invoices, stock counts and the logins you create for your staff — belongs to your business, not to us. We store and process it to run the service for you, and we keep each business's data separated from every other business's.

You can export your data while your subscription is active. If you close your account we will delete it after a short grace period, except where we are required to keep something longer by law.

4. What we ask of you

  • Use the service for a lawful business, and follow the laws that apply to it.
  • Do not try to reach another business's data, break the service, or get around its access controls or usage limits.
  • Keep your own records accurate. Invoices and tax figures are calculated from what you enter, so what you get out depends on what you put in.

5. Tax and other calculated figures

The service calculates GST on invoices — the CGST/SGST or IGST split, the rate applied to each line and the totals — using the GSTIN, place of supply and HSN settings configured for your business. These are a tool to help you, not tax or legal advice, and they are only as correct as those settings and the underlying records. Check them before you file or pay anything. Your obligations to the tax authorities remain yours.

6. Payment and subscription

Paid plans are billed in advance for the period you choose. Enabling more modules or outlets changes what you pay from the next billing period. If a payment fails we will tell you and give you a chance to fix it before the account is limited. You can cancel at any time, and the service continues until the end of the period you have already paid for.

7. Availability

We work to keep Suiteloom available and to warn you before planned maintenance, but we cannot promise it will never be interrupted. Some features depend on services we do not control — payment gateways, SMS and WhatsApp delivery, the GST network — and those can fail independently of us.

8. Ending the agreement

You can stop using the service and close your account whenever you like. We may suspend or close an account that is being used unlawfully, that is putting the service or other customers at risk, or that has not paid. Where the circumstances allow it, we will contact you first.

9. Changes to these terms

If we change these terms in a way that materially affects you, we will tell you in advance through the app or by email. Continuing to use the service after a change takes effect means you accept the updated terms.

10. Getting in touch

Questions about these terms, your data, or anything else can go to us at support@suiteloom.com. See also our Privacy Policy, which explains what we collect and why.
